Maintenance Contracts 101: What an SLA Should Cover for Low Voltage Systems

A low voltage system — network infrastructure, access control, AV, security cameras — doesn’t stop needing attention once it’s installed. Firmware needs updating, hardware ages and fails, and small issues catch up with you eventually if nobody’s watching for them. A maintenance contract (often structured around a Service Level Agreement, or SLA) is how most businesses handle this without needing in-house expertise for every system they run. But not all maintenance contracts are created equal, and it’s worth understanding what a good one actually covers.

What “SLA” Actually Means

A Service Level Agreement defines the specific commitments a contractor makes around how they’ll support your systems — most importantly, how quickly they’ll respond to a problem and what counts as resolving it. A vague promise to “provide support” isn’t the same as a defined SLA with measurable commitments you can actually hold a contractor to.

Core Elements a Maintenance Contract Should Cover

Response time commitments. How quickly will the contractor respond once an issue is reported — and does that commitment change based on severity? A complete network outage and a single malfunctioning camera shouldn’t have the same response time expectation.

Scope of covered systems. Does the contract cover everything you have installed (network, access control, AV, cameras), or only specific systems? It’s common for businesses to assume broader coverage than what’s actually in the contract — worth confirming explicitly.

Preventive maintenance, not just reactive repair. A contract that only responds when something breaks misses real value. Periodic check-ins — firmware updates, testing UPS battery health, reviewing camera footage retention, checking for failing hardware before it fully fails — catch problems before they become outages.

Remote vs. on-site support. Many issues can be diagnosed and sometimes resolved remotely, which is typically faster. Know what’s handled remotely versus what requires an on-site visit, and whether on-site visits are included in the contract or billed separately.

After-hours and emergency coverage. If your business operates outside standard business hours, or if certain systems (security, access control) are critical around the clock, confirm whether the SLA’s response commitments apply 24/7 or only during business hours.

Parts and replacement hardware. Does the contract include replacement hardware when something fails, or only labor? This significantly affects the real cost of an issue and is worth clarifying upfront rather than discovering during a repair.

Reporting and documentation. Does the contractor provide documentation of work performed, issues found, and recommendations — or does maintenance happen with no record of what was actually done? Documentation matters both for accountability and for understanding your systems’ history over time.

Questions to Ask Before Signing

  • What’s the guaranteed response time, and does it vary by issue severity?
  • Which specific systems are covered — and which, if any, are explicitly excluded?
  • Is preventive maintenance included, or is this purely reactive support?
  • Are on-site visits included, or billed as an add-on?
  • Is replacement hardware included, or only labor?
  • What happens if an issue isn’t resolved within the committed timeframe — is there any recourse, or is the response-time commitment more of a guideline?
  • How is the contract priced — flat monthly fee, per-incident, or a hybrid?

Red Flags to Watch For

  • Vague language (“we’ll respond promptly”) without a specific, measurable commitment
  • No clarity on which systems are actually covered
  • A contract that’s purely reactive, with no mention of preventive maintenance or check-ins
  • No documentation provided after service visits

Thinking About Whether You Need One at All

Not every business needs a formal maintenance contract for every system — a small office with simple, low-stakes infrastructure may be fine handling occasional issues as they come up. But as systems multiply (network, access control, cameras, AV, building automation) and as the cost of downtime grows, the case for a defined SLA gets stronger. The real question isn’t whether maintenance contracts are worth it in general — it’s whether your specific systems and business have grown to the point where reactive, as-needed support is no longer good enough.
