Conference Room AV Checklist for Modern Offices

A conference room that looks great on paper can still be miserable to use if the AV setup wasn’t planned around how the room actually gets used. The most common complaint isn’t about picture quality or speaker brand — it’s “why does it take five minutes and a phone call to IT just to start a meeting.” Good conference room AV is judged on how invisible it is, not how impressive the equipment list looks.

Here’s a practical checklist for planning a setup that actually works for the people using it every day.

Start With How the Room Will Actually Be Used

Before specifying any equipment, answer these:

  • How many people will typically be in the room?
  • Will most meetings include remote participants, or is this mostly an in-person space?
  • Is this a dedicated conference room, or a flexible/huddle space used for quick calls?
  • Will presentations, screen sharing, or whiteboarding happen regularly?

A small huddle room used mostly for two-person video calls needs a very different setup than a boardroom that regularly hosts twelve people and a client presentation.

Display

  • Size and viewing distance. A display that’s too small for the room’s depth forces people in the back to squint at shared screens — a common and easily avoidable mistake.
  • Single vs. dual display. Dual displays (one for video participants, one for shared content) significantly improve the experience for hybrid meetings, letting remote attendees stay visible even while a presentation is on screen.
  • Mounting and cable management. Visible cables and awkward mounting heights are small details that make a room feel unfinished — worth getting right the first time.

Audio

Audio quality matters more than display quality for most meetings, especially hybrid ones — people will tolerate a slightly small screen far more easily than they’ll tolerate not being able to hear or be heard clearly.

  • Microphone coverage. Larger rooms need ceiling or table microphone arrays rather than relying on a single device’s built-in mic, which won’t pick up voices from across the room evenly.
  • Echo cancellation. Hard-surfaced rooms (glass walls, hard flooring) are more prone to echo; acoustic treatment or appropriate microphone/speaker placement can address this at the design stage rather than fighting it later.
  • Speaker placement. Even, room-filling sound matters more than a single powerful speaker in one corner.

Camera

  • Field of view. The camera needs to capture everyone seated in the room, not just the people closest to it.
  • Auto-framing. Cameras that automatically adjust framing as people move or as the group size changes reduce the need for someone to manually adjust the camera mid-meeting.
  • Placement relative to the display. Mounting the camera near eye level, close to the display, keeps eye contact with remote participants feeling natural rather than looking down or to the side.

Video Conferencing Platform Integration

  • Does the room hardware integrate cleanly with the platforms your team actually uses (Zoom, Teams, Google Meet), or does it require a workaround?
  • Can a meeting be started with a single tap from a calendar invite, rather than manually entering a meeting ID?
  • If your office uses multiple platforms depending on client or partner preference, does the room support switching between them without a hardware change?

Control and Ease of Use

This is where most conference room frustration actually comes from. The technology can be excellent and still feel broken if it’s not simple to operate.

  • One-touch start. The fewer steps between walking into the room and starting the meeting, the more the system will actually get used correctly.
  • Simple, labeled controls. A touch panel with clear, obvious controls (volume, mute, source switching) beats a complex system that requires training to operate.
  • Consistent experience across rooms. If your office has multiple conference rooms, keeping the control experience consistent between them means staff don’t have to relearn the system every time they’re in a different room.

Connectivity and Network

AV equipment depends on the network just as much as computers do. Conference room AV should be planned alongside (not separately from) your office’s network design, particularly for:

  • Adequate bandwidth for simultaneous video calls across multiple rooms
  • Wireless presentation features, which rely on stable local network connectivity
  • Network segmentation so AV equipment isn’t competing for priority with general office traffic during a video call

A Pre-Launch Checklist

Before considering a room “done,” walk through this:

  1. Can someone unfamiliar with the room start a meeting in under 30 seconds?
  2. Can everyone in the room be seen and heard clearly by remote participants?
  3. Does the display size match the room’s actual viewing distance?
  4. Is the platform integration seamless, or does it require workarounds?
  5. Are cables and mounting clean and out of sight?
  6. Is the room’s AV setup consistent with your other conference rooms, if you have more than one?
