Access Control Buyer’s Guide: Keycard vs. Biometric vs. Mobile Credential

Access control has come a long way from “everyone gets a key.” Today’s options range from simple keycards to fingerprint scanners to apps that turn an employee’s phone into their badge. Each has real tradeoffs in cost, convenience, and security — and the right choice depends more on how your office actually operates than on which technology sounds the most advanced.

This guide breaks down the three most common credential types so you can match the right one to your situation.

Keycard / Fob Systems

Keycards and key fobs are the most established access control technology, and for good reason — they’re reliable, well understood, and affordable to deploy at scale.

Strengths:

  • Lower cost per credential, especially for larger offices
  • Simple for employees to understand and use
  • Easy to deactivate instantly if a card is lost or an employee leaves
  • Mature technology with a wide range of compatible hardware

Tradeoffs:

  • Cards can be lost, shared, or lent to someone else
  • A lost card is a (minor) security gap until it’s deactivated
  • Doesn’t verify that the person using the card is the person it was issued to

Best fit for: Most general office environments where convenience and cost matter more than verifying individual identity at the door — which covers the majority of commercial offices.

Biometric Systems

Biometric access control — fingerprint, facial recognition, or similar — verifies the actual person, not just a credential they’re carrying.

Strengths:

  • Can’t be lost, shared, or lent the way a card can
  • Strong audit trail of exactly who accessed a space and when
  • Removes the “who has the spare card” problem entirely

Tradeoffs:

  • Higher upfront hardware cost per door
  • Employee comfort and privacy considerations — some staff are uneasy about biometric data collection, and this is worth discussing with your team before deployment
  • Slightly slower throughput at high-traffic entry points compared to a quick badge tap
  • Requires clear policies on how biometric data is stored and protected

Best fit for: Restricted areas within a larger facility — server rooms, record storage, pharmacies, labs — rather than general building entry, where the extra security is worth the tradeoffs. Some organizations use biometrics selectively (high-security rooms) alongside keycards for general access, getting the benefits of both.

Mobile Credentials

Mobile credential systems use an employee’s smartphone — via an app, Bluetooth, or NFC — as their access badge.

Strengths:

  • Most employees always have their phone, reducing the “forgot my badge” problem
  • Credentials can be issued and revoked remotely and instantly, without needing the employee to come in for a physical card
  • Often integrates well with visitor management, letting you send temporary digital credentials to guests or contractors
  • No physical card to manufacture, lose, or replace

Tradeoffs:

  • Relies on employees having a charged, working phone with the app installed
  • Some older door hardware may need upgrading to support mobile/Bluetooth credentials
  • IT needs a process for employees who don’t want to use a personal phone for work access (a consideration for any BYOD policy)

Best fit for: Growing or distributed offices that want flexibility to issue and revoke access remotely, and organizations that already lean on mobile-first IT policies.
