On-Premise vs. Cloud-Based Access Control: What’s the Difference?

Access control systems are increasingly split into two architectural approaches: on-premise systems that store data and run management software on local hardware in your building, and cloud-based systems that manage everything through an internet-connected platform. Both control the same doors — the difference is in how the system is managed, accessed, and maintained.

On-Premise Access Control

With an on-premise system, the access control server and database live on hardware physically located at your facility. Management software typically runs on a local computer or dedicated server.

Strengths:

  • No dependency on internet connectivity for the system to function day-to-day (door access continues working even if internet service goes down)
  • Data stays entirely within your own infrastructure, which some organizations prefer for security or compliance reasons
  • No recurring subscription fee in the same way cloud platforms typically charge (though maintenance and software update costs still apply)

Tradeoffs:

  • Managing multiple locations requires either separate systems at each site or more complex networking to centralize management
  • Software updates and maintenance typically require someone with direct access to the local server
  • Remote management (checking who accessed a door from your phone, granting access to someone while you’re off-site) is more limited or requires additional setup

Cloud-Based Access Control

Cloud-based systems manage door hardware through an internet-connected platform, with data and management software hosted off-site by the provider.

Strengths:

  • Manage access across multiple locations from a single dashboard, anywhere with an internet connection
  • Issue or revoke credentials remotely and instantly — useful for a new hire, a terminated employee, or a temporary contractor, without needing physical access to local hardware
  • Software updates are typically handled by the provider automatically, reducing the maintenance burden on your team
  • Easier to scale as you add locations, since you’re not deploying and maintaining separate local servers at each site

Tradeoffs:

  • Day-to-day door function (and especially remote management) depends on internet connectivity — though most well-designed systems allow doors to continue functioning locally for a period if connectivity is briefly interrupted, this varies by platform and is worth confirming directly
  • Ongoing subscription cost, which needs to be factored into long-term budgeting rather than treated as a one-time expense
  • Data is hosted by a third party, which some organizations need to evaluate against their specific compliance or security requirements

Which Fits Your Situation Better

Single-location businesses with simple needs often do fine with either approach — the deciding factor tends to be whether remote management (checking access logs or granting access from off-site) is something you’ll actually use regularly.

Multi-location businesses generally benefit significantly from cloud-based systems, since centralized management across locations is one of the clearest advantages cloud platforms offer over coordinating multiple on-premise systems.

Organizations with specific data residency or compliance requirements should evaluate cloud providers carefully against those requirements — this isn’t a reason to default to on-premise, but it is a reason to ask cloud providers direct questions about data handling rather than assuming compliance.

Businesses with unreliable internet service should weigh this carefully, since cloud-based systems lean more heavily on connectivity for full functionality, even if local door operation continues during brief outages.

A Few Questions to Ask Either Way

  • How is access data backed up, and what happens if the local server (on-premise) or internet connection (cloud) goes down?
  • How easily can a new door or location be added to the system?
  • What does the audit trail and reporting actually look like, and is it sufficient for your compliance or operational needs?
  • Who is responsible for software updates and patching — you, or the provider?

Neither Option Is Universally “Better”

The right choice depends on how many locations you manage, how important remote access management is to your operations, and your specific compliance considerations — not on which architecture is newer or trendier. A clear-eyed comparison against your actual operational needs gets you to the right answer faster than a general preference for one approach over the other.
